Anyone interested in volunteering for Epic Nerd Camp must be aware of the following policies. Please read them carefully and contact us at Adventure@EpicNerdCamp.com if you have any questions that are not answered here or in the Volunteer FAQ section.

VOLUNTEER TYPES

We’re currently looking for:

  • Cosplay Construction (Foam) Instructor
  • Wig Styling, Makeup, and Prosthetics Instructor
  • 3-D Printing Cosplay Instructor

All Game Team members must complete and submit the Volunteer Application.
The Game Team includes:

  • Tabletop/RPGs
  • Video Games
  • Collaborates with Events & Logistics on:
    • Escape the Room
    • Treasure Hunt

All Events Team members must complete and submit the Volunteer Application.
The Events Team oversees the production and needs of specific events within Epic Nerd Camp, including, but not limited to:

  • Cosplay Contest
  • Musical Performances
  • Movie Showings
  • Fandom Specific Events
  • Vendor Faire/Art Show Management

All Marketing Team members must complete and submit the Volunteer Application.

The Marketing Team is responsible for:

  • Social Media
    • Creating and posting content on various social media platforms
  • Creating Ads
    • Audience Targeting
    • Ad Content
    • Primarily Facebook and Twitter Ads
  • Graphic Design
    • Creating vector and bitmap graphics for:
      • Online Ads
      • Printed Media
      • Swag
      • Website
      • Videos
  • Video Production- Including one or more of the following:
    • Creating Video Ads
    • Show/Channel Development
    • YouTube, Twitch, Facebook live streams
    • Filming
    • Editing
  • Networking: Connect and coordinate with:
    • Special Guests & Company Reps
    • Sponsors- Prize Support
    • Vendors
    • Conventions
All Hospitality Team members must complete and submit the Volunteer Application.

  • Coordinate with local motels for off-site housing
  • Bunk/room assignments
  • Food & Beverage
  • Alcohol
  • Menu Planning
  • Transportation
    • To/From Airport/Bus Stations
    • To/From Camp-Motel
  • Safer Spaces
    • Point of contact for LGBTQ campers
    • Verifies comfortable bunk assignment
  • Medical Staff- Registered Nurses- On-Call Position
    • Must be licensed in the state the camp is located.
All Logistics Team members must complete and submit the Volunteer Application.
The Logistics Team oversees the production and needs of Epic Nerd Camp as a whole; including, but not limited to:

  • Equipment and equipment rentals
  • Wi-Fi setup
  • Product research and purchasing
  • Work closely with all other departments
  • Contracts, insurance…all the less glamorous, yet absolutely crucial, things that make camp happen

VOLUNTEER RANKS

FIRST-TIME or HALF-TIME VOLUNTEERS

If you haven’t volunteered before, or want to try out our Volunteer Program half-time, a Squire is the thing to be!

All Squires must complete and submit the Volunteer Application.

Squires are responsible for making their own travel arrangements.

Preference will be given to Squires that can attend the full week of Epic Nerd Camp, but volunteering for one session may be possible, depending on our needs.

Squires may choose between half-time (4 hours/day) or full-time (8 hours/day).

Squires are required to purchase an admission ticket to camp, which will then be half or fully reimbursed, depending on if you are a half or full-time volunteer.

Squires will be required to check-in and out of scheduled shifts through our event phone app. All scheduled shifts must be completed to be considered for reimbursement. Once all hours are completed for your volunteer level, timecards will be verified before being submitted for camper ticket reimbursement.

ALL first year volunteers must choose between:*

HALF-TIME SQUIRE 4 hours/day
FULL-TIME SQUIRE 8 hours/day

The FELLOWSHIP OF THE CAMP Program

This program is a great opportunity for those interested in becoming a more integrated part of the Epic Nerd Camp family. In this program, volunteers go behind the scenes and work directly with Epic Nerd Camp Staff on camp management, both pre-camp and onsite, giving them a unique inside view of how camp is produced. Each of the FELLOWSHIP OF THE CAMP levels (Initiate, Marshal and Grand Marshal) is scheduled to help in one or more areas, and required to put in a minimum of 36-40 hours during camp. If the FELLOWSHIP OF THE CAMP is a path you wish to pursue, the benefits and experiences are immeasurable!

Experience Needed- One (1) or more years as a Squire, preferably full-time, but we will consider exceptional half-time applicants.
All Initiates must complete and submit the Volunteer Application.
Initiates are responsible for making their own travel arrangements.

Experience Needed- Two (2) or more years at Initiate level.
Marshals are given more leadership responsibilities at the camp and are often placed in charge of certain areas if Grand Marshals are not available. They are part of the Epic Nerd Camp Event Team and must be knowledgeable in their particular department as well as Epic Nerd Camp’s camp Policies and Volunteer Policies. Marshals often work more than the required minimum of 40 hours the week of Epic Nerd Camp.

Experience Needed- After a minimum of two camps, Marshals who prove themselves to be self-motivated, trustworthy, responsible and hard-working will be assigned to a specific department and promoted to “Grand Marshal”, based on available positions, performance and recommendation.

Grand Marshals are integral part of Epic Nerd Camp, and are deeply involved in the planning process. All Grand Marshals must be knowledgeable in their specific areas as well as Epic Nerd Camp’s Policies and Volunteer Policies. Grand Marshals also work more than the required minimum of 40 hours the week of Epic Nerd Camp, sometimes starting as early as 2-3 days before camp.

VOLUNTEER FAQ

The minimum age to volunteer is 21.

Yes! There are several levels in the Volunteer Program, ranging from half-time (~4 hours/day) of involvement to 40+ hours of commitment. If you want to try it out and devote only a small amount of time volunteering, consider becoming a Half-Time Squire. If you are willing to devote a little more time to one camp, but don’t want to commit to multiple years, check out the Full-Time Squire option. If you’re interested in becoming a part of the Epic Nerd Camp family and willing to work 40+ hours during camp and commit to multiple years, check out the FELLOWSHIP OF THE CAMP.

Please be sure to complete and submit the application, or it will not be received.

We are truly grateful for everyone that pitched in and helped out, but to be fair to our volunteers that put in A LOT of time (and therefore got to experience very little of the camp activities), here are the guidelines that qualify a volunteer to apply for the Initiate level. You must have one or more of the following:

  • You were a registered 2016 volunteer that fulfilled your commitment.
  • We asked you to lead or assist in an activity or class for us or for the facility.
  • We requested you to help with tasks that took 4+ hours from each day during your session.

Squires are required to purchase a badge.* Once the hours have been met, Squires will be eligible for reimbursement benefits (amount details TBA). If you are a returning volunteer at a rank of Initiate or above, you will not need to purchase a badge. This system discourages people from signing up to volunteer, collecting their badge, then neglecting to fulfill their volunteer commitments.

Reimbursements will be issued within six (6) weeks after camp ends, and will be made via check.

We do not give out partial reimbursements, it is all or nothing.

Accepted volunteers will be notified via email. By creating a login on growtix.com, you may check the status of your application at any time. If it isn’t “accepted” or “denied”, please be patient. Volunteer spots are very limited, and we’ll be assessing our needs and accepting volunteers as the project progresses. Please recall, that unless you are a returning volunteer, you will be required to purchase a ticket regardless of your acceptance, which will be refunded once you have fulfilled your volunteer obligations.
